Creating
Base Pay Codes
From the main "Admin" tab, click on
the "Pay Codes" link located under the
Policies
section of the screen.
The Base Pay
Codes section appears at the top of the
screen. Click on the [ADD BASE] icon to create
a new Base Pay Code.
The "Base Pay Code" screen is divided
into two sections.
Pay Code
- Enter a Name
for this code, as you would like it to appear
throughout the system.
- Enter a 3-character Abbreviation
for the code. This abbreviation will be displayed
with hours totals in areas like Time Cards
and reporting.
- Enter the Export
Code to be used when exporting your
hours to an external payroll software. Some
payroll programs require that this code be
set up in a specific format. Ensure that you
are familiar with you payroll program's specifications.
- The Type
field denotes that you are creating a "Base"
pay code, and should be left as.
Base Pay Code
- Enable the Worked
option to specify that hours attached to this
code have been worked by the employee. Leave
it disabled to define that attached hours
are unworked (absence) hours.
- Enable the Paid
option if you would like employees to be paid
for hours attached to this code. Leave it
disabled to specify this as a code for unpaid
hours.
- The Exported
option is only active for selection if the
"Paid" option above is disabled.
It defines whether or not you would like unpaid
hours to be included when exporting to an
external payroll program.
- Holidays in the system must be attached
to a Base Pay Code. The Holiday
option allows you to define whether or not
you would like this code to be used for that
purpose.
- When creating Meal Policies, the option
exists to attach a Base Pay Code. The Meal option
allows you to define whether or not you would
like this code to be used for that purpose.
- The Pay
Level option is an advanced
setting used primarily in advanced Job
Tracking configurations. It allows you
to change the employee's base rate of pay
for hours assigned to this particular Pay
Code.
Once you have completed the Base Pay Code setup,
click on the [SAVE] icon to add the code to the
system. You are returned to the main "Pay
Codes" screen.
